Color Printing

Overview

Four schools have pooled together to get a high-quality color printing system to share. Teachers will be able to send color materials to be printed, which will then be delivered to a location at the school, for teachers to pick up. Why

Four schools have combined resources to improve efficiency and reduce cost and waste in color printing. The resulting significant savings can go toward teaching and learning resources. By using less electricity, plastic (from expended toner cartridges), and paper, we significantly improve our environmental impact. Additionally, the high-quality unit we use results in better quality print jobs.

Your point of contact at your school is your ITC.

Our Ricoh MP C2005X color printer is located at Jamestown Elementary School.

What

This system provides high-quality color printing capabilities for instructional and school support materials. When, in the course of your proactive planning, you identify a resource that will best meet student needs when created in color, you can use this system to create it.

You are always encouraged to make durable materials. Consider laminating your finished jobs if appropriate. We provide a cardstock option for those materials that may need to be written upon, to ensure durability. Select the option that best meets the need at hand.It is not appropriate to print materials in color that can be printed in black-and-white and still meet the need at hand. Additionally, personal or “just for fun” materials are likely not appropriate.

Traditionally, early Fall and early Winter are heavy printing periods. It is important that you proactively plan to ensure you receive your materials in a timely fashion.

How: Making Your PDF

All color print jobs must be created from a PDF file. PDF files allow you to see exactly what will be printed, allowing you to preview the material before it is printed. (This saves paper by eliminating “test prints.”) If you need help creating a PDF file, ask your ITC for assistance.

Mac

From the application you’re printing from, select “Print” as you normally would. This is usually found on the “File” menu.

At the bottom of the dialogue box that appears, you will see either “Open PDF in Preview” or a “PDF” dropdown menu.

If you see the “PDF” drop down menu, click it to expand it. Select “Open PDF in Preview” follow the instructions below.

If you see “Open PDF in Preview,” click it. Your printable file will appear in the Preview application. Examine it carefully. If this can be printed in black and white instead of color, consider doing so at this point. If the resource truly needs to be in color, select “Save” (from the “File” menu”).

You will be prompted to save your file. Name your file appropriately: begin with your school name and then add your last name.

This is the file you will use in the next step.

Windows

From the application you’re printing from, select “Print” as you normally would. This is usually found on the “File” menu.

In the dialogue box that appears, select the “Microsoft Print to PDF” option.

Press Print.

You will be prompted to save your file. Name your file appropriately: begin with your school name and then add your last name.

Examples:

  • Tuckahoe_Jones

Open the file and examine it carefully. If this can be printed in black and white instead of color, consider doing so at this point. If the resource truly needs to be in color, select “Save” (from the “File” menu”) and give your file a name and save it.

This is the file you will use in the next step.

How: Sending Your PDF

  • Open the Color Print Job Form: http://bit.ly/colorprintjob
  • Select your school from the dropdown menu.
  • Select the grade level or team that best represents the individuals who will use the printed product.
  • Enter how many copies of the file you will be attaching you would like printed.
  • Select whether you want the print job to single or double sided. If you have a combination of these options, you should submit separate files.
  • The only options available are standard 8.5” x 11” white paper or standard 8.5” x 11” white cardstock. Select which option you would like.
  • Upload your PDF file. Ensure that you have checked the PDF file for accuracy before you upload it.
  • Press Submit. Your file will be sent to the print job queue for printing on the next print job day, Tuesday or Thursday.

How: Getting your Finished Job

  • Print jobs are run on Tuesdays and Thursdays, then placed in interoffice mail to be delivered to your school’s designated color printing pickup location:
    • Discovery: Main Office (near copier)
    • Jamestown: Workroom or Clubhouse
    • Nottingham: Staff Lounge
    • Tuckahoe: Staff Lounge
  • Interoffice mail will generally be delivered the next school day.
  • Interoffice mail services are provided by APS centrally, not by schools.
